Gather Rooming Requests

It is time to figure out who your participants would like to room with on the trip. Below are some tips from experienced trip sponsors for how to compile room requests.

Gathering Student Requests

First, announce the date & time you are going to gather roommate choices. A few days in advance, post separate lists of males and females outside the cafeteria or classroom. Students will use this time to figure out their preferences.

Note: In some cases (usually when a student and parent are rooming together), students may be assigned to a double occupancy room. We recommend not including these students in the posted list.

You can immediately assign these students with their roommate in Assign/Edit Room List to remove them from the roommate selection process.

Methods for getting student roommate choices:

  • Students write the names of all students they feel comfortable rooming with and are promised to get at least one of them on the list as a roommate.
  • Students form their own group of 4 and come to you to lock it in. This method also provides you with a way to view students who seem to be struggling and assist them.
  • 2 students indicate they want to room together. Then, you give them the chance to approach 2 others to make a room of 4 or you combine 2 sets of 2 yourself. 

Gather Parent Requests

Make sure to check View Participants on your TripWheel and sort by adults and single occupancy.  You can even just assign them to his/her own room now in Assign/Edit Room List in your TripWheel.  This way you do not ask them to choose a rooommate.

Email all the parents who selected double and provide the names of the males and females on the trip.  Ask them to email you the name of the parent they wish to room with. Let them know you will make it official when the other parent emails the same name as their roommate selection.

When you have an odd number of parents who registered as double, one parent will get his/her own room by default.  Avoid telling that parent he/she has her own room because you never know if another parent will add-on later and make it an even number.
