  • Final Meeting Details:
    • We’re getting close to departure! Most schools schedule a departure meeting about two weeks prior to the trip. You can choose to hold one meeting for everyone or a separate chaperone-only meeting before gathering the whole group.”
    • Action: Please send the date, time, and location of your departure meeting to your Tour Consultant so it can be added to the Important Dates section in our system for all parents to view.”
  • Preparing for the Meeting:
    • To help you prepare for the departure meeting, log in to your admin portal and access the Pre-Trip Information under the printouts section. Here’s what you’ll find:”
      • Tour Info: “Details about the hotel name and address, bus company contact info, departure and arrival times, and basic packing instructions.”
      • Trip App: “Information on how to use the Trip App, which includes hotel and motor coach details, itinerary, packing lists, weather forecasts, and more.”
      • Till Pre-Trip: “Basic instructions for the Till service, including a QR code, phone number, and FAQs.”
      • Latest Itinerary: “The final itinerary, which becomes final around 14-21 days before departure. Check the Graphical Itinerary under the Pre-Trip Printouts for the most up-to-date version. Remember, if it says ‘Subject to Change,’ it’s not yet final.”
